Everyone attending the Leadership Institute & Recruitment Fair, outside of students is required to reserve and cover the cost of his or her sleeping accommodations.  You are encouraged to make a reservation early to ensure accommodations are available. Any reservations made outside of the available dates are subject to current hotel rates and availability. 


Please note to successfully reserve your sleeping room, your reservation requires a credit card deposit of $273.66 for 1 night which will be charged to your card

If you use a debit/credit card to check in, a hold may be placed on your card account for the full anticipated amount to be owed to the hotel, including estimated incidentals, through your date of check-out and such hold may not be released for 72 hours from the date of check-out or longer at the discretion of your card issuer.


All payments made outside of the online registration system using a major credit card are the responsibility of the guest.  TMCF will not be held responsible for any checks or money orders not sent or received in a timely manner.

    • Non-certified checks and money orders MUST be received no later than 21 business days prior to arrival to the attention of:

      Please include dates of stay with confirmation number(s), TMCF Conference and name of guest with form of payment and confirm receipt of payment at the hotel before arrival.
    • Checks and Money Orders should be made payable to the Washongton Hilton
    • Bank/Certified checks can be accepted at arrival. If the check does not cover the entire amount of the stay another form of payment will be required (i.e. credit card)
    • Should an individual wish to pay for someone else staying at the hotel, please complete a credit card authorization form in order to secure payment before arrival
    • The hotel does not accept purchase orders and university checks are not considered a certified instrument


All students attending the Leadership Institute and Recruitment Fair will be automatically assigned to a double-double room by TMCF after confirmed student have completed the registration process. The dates available to students for the conference are November 8th through November 12th. Any reservations made outside of this window are subject to current hotel rates, availability at the time of registration, and must be approved by a TMCF staff member. The college or university will be responsible for covering the additional night(s) unless otherwise agreed upon by TMCF.

The preferred travel agency for TMCF is Cain Travel. All participants attending the Leadership Institute & Recruitment Fair are welcome to use our preferred travel agency. If you wish to use Cain Travel for your transportation needs, please contact them using the information below and one of the reservation specialists will be more than happy to assist you.

Once the students are selected to attend the Leadership Institute, TMCF will coordinate with the campus coordinator/chaperone and Cain Travel to make travel arrangements as quickly as possible to ensure the best possible travel cost per student. If your campus would like to request travel arrangements other than airplane or train, please notify us as soon as possible.
